Office desk phone systems, hosted or on-site PBX, let you choose what happens to calls nobody answers. Point that at your TextbackFast number instead of voicemail.
The numbers behind missed calls
Sources: 411 Locals study; CallRail 2025 survey.
One in five callers who hit voicemail dials your competitor next. A text in seconds keeps them talking to you.Based on the CallRail 2025 survey
Generic steps
- Sign in to your phone system's admin portal, or ask whoever manages it.
- Open call handling for your main number, or for the menu, ring group or queue callers reach.
- Find what happens to unanswered calls. It is often voicemail.
- Change it to forward to an external number and enter your 10-digit TextbackFast number.
- Do the same for busy, if offered.Set the ring time to about 20 to 30 seconds.
- Save.
RingCentral, for example, calls this Unanswered calls, then Forward to external number (RingCentral support).

Desk phone star codes
Some hosted systems support codes on the desk phone. Verizon Business Digital Voice uses *92 + number + # for no answer and *90 + number + # for busy, with *93 and *91 to turn them off (Verizon Business Digital Voice). Codes vary by system.
Ring groups and queues
Calls that ring a group or queue often skip each phone's own forwarding. Set the group's or queue's own "if no answer" destination to your TextbackFast number. If your system can only forward all calls, or cannot forward to an outside number, it cannot do no-answer forwarding to TextbackFast; ask your provider.
Test it
- Call your business number from another phone and let it ring out, or decline the call.
- The caller should get your TextbackFast text within seconds.
- No text?Turn forwarding off, then set it up again carefully. One wrong digit is the most common problem.
